How it works

Two pieces of setup, then the calls place themselves.

What you configure once, what happens on the phone before every shift, what reaches your dashboard when a call goes unanswered, and what the record looks like afterwards.

Read it in five minutes and you’ll know whether it fits your operation, no demo required.

One shift from start to record: the week drawn once on Monday, a reminder call at 6:50am, the confirmation landing on the dashboard, a clock-out reminder at 3:00pm, and the finished record. What happens when nobody picks up: a first attempt at 6:50am that rings out, a voicemail at 6:55am stating the shift is unconfirmed, and escalation to the dashboard at 6:56am.
Get Started

Add your staff. A name and a mobile number.

Your account is created by whoever owns the subscription. From there you add the people whose shifts need confirming — and that is genuinely the whole record: a name and a US mobile number.

The staff list: four people with their mobile numbers, three marked Active and one Paused, above a note that paused staff still count toward the invoice until they are removed.
Set it up

Draw each person's week on the schedule grid.

Place blocks on a weekly grid — the recurring pattern this person normally works. ClockAide converts that pattern into dated shifts and keeps a rolling fortnight queued ahead of you, so you are never scheduling the day before.

Real weeks are not patterns, so the grid takes overrides: skip a shift for a week, or add a one-off that isn't part of the pattern. The pattern stays intact underneath.

A weekly schedule grid for Maria Reyes: green blocks on Monday to Friday at 7:00am and 11:00am, one Friday shift marked Skip, and a legend for scheduled, skipped and off.
  • A rolling fortnight, always queued
  • Overrides without rewriting the pattern
  • Unlimited schedule managers
The core workflow

The phone rings ten minutes early. Answering is the clock-in.

This is the part your staff experience, and it is deliberately the least interesting thing that happens all morning: a short call, a spoken reminder, and no action required. There is no menu, no keypad, and no number to press.

What your staff hear

Meridian Care GroupIncoming call · 6:50am

Hi Maria, this is Meridian Care Group.

This is your reminder that your shift is starting soon. Please clock in. Have a good shift.

What runs without you

The work you stop doing on Monday morning.

Everything on the right of this table used to be somebody's job at 6:45 in the morning. None of it is a judgement call — which is exactly why it should not depend on a person remembering.

Without ClockAide

  • Attendance confirmed by text thread
  • A supervisor has to remember to check
  • Gaps discovered after the client calls
  • The record is reconstructed later

With ClockAide

  • Attendance confirmed by answering the call
  • The call places itself, ten minutes ahead
  • An unanswered shift is flagged with time to spare
  • The record is written as it happens
Monitor and act

Open the dashboard once, before the day starts.

The dashboard answers one question — who is not covered — and it should answer it before you finish reading it. Everything else is available when you want it and quiet when you don't.

When something needs a person, that person is you: call the staff member, arrange cover, or record the clock-in by hand. ClockAide stores a manual entry with its source, so a correction always reads as a correction.

Today's dashboard: three shifts, two confirmed and one unconfirmed. Two staff are clocked in with the time their call was answered; the third shows two attempts, no answer, escalated at 1:56pm.
FAQs

Here's what you can consider before partnering with us.

No. Each reminder is claimed atomically before it's dialed, so overlapping schedulers can't place the same call twice.

We leave a message stating the reminder and noting the shift is still unconfirmed — it never claims an arrival that hasn't happened. Five minutes later, we try again. Only after both attempts fail does anything get flagged to your dashboard.

It confirms a phone was answered at the right time and place. It doesn't track location or listen in during the shift.

No. Call logs and confirmation records belong to your account and nobody else's — not other agencies on ClockAide, not us for any purpose beyond running the service, and not any third party unless you choose to export and share them yourself.

Nothing. No client names or details are ever stored — only the staff schedule and the call record.

The number already on file for each staff member — the same phone they already carry to work.
